Partners is seeking a dynamic Property Administrator to play a pivotal role in delivering top-tier property management services and supporting the Property Manager across a spectrum of operations. As a key team member, the Property Administrator ensures the smooth operation of property assets by performing essential daily tasks and upholding superior standards of operational efficiency and tenant satisfaction. This engaging role encompasses accounts receivable and payable processes, offering comprehensive administrative support, championing exceptional customer service, and fostering productive relationships with vendors.

WHAT YOU'LL DO

  • Accounts Payable: Code invoices in the designated invoice processing system per general ledger chart of accounts and ensure proper backup necessary for approval. Process and prepare tenant billbacks
  • Accounts Receivable: Review tenant account ledgers for payments, late fees, charges, and credits. Submit appropriate paperwork for account ledger corrections. Make collection calls and prepare and send written correspondence to collect outstanding balances. Document collection efforts as per guidelines.
  • Assist the Property Manager in preparing monthly reports for the Client(s).
  • Maintain digital as well as hard copy filing systems, update service trackers, and maintain current tenant contact lists.
  • Work with utility companies to set up, transfer, and terminate services.
  • Assist the Property Manager in collecting and reviewing tenant Certificates of Insurance to ensure compliance with lease documents and Client requirements.
  • Work with tenants and vendors to coordinate routine maintenance projects, repairs, and other activities as directed by the Property Manager.
  • Receive work order requests and coordinate with the building technician or vendor as appropriate.
  • Schedule building activity including move-ins/move-outs and verify insurance.
  • Tenant/Vendor customer service relations.
  • Answer the telephone as required.
  • Prepare vendor service contracts.


WHAT YOU'LL BRING

  • Bachelor’s degree is highly preferred
  • Experience as an administrator within the real estate industry
  • Excellent communication skills, both written and verbal
  • Ability to develop and maintain client/customer relationships for both internal and external stakeholders
  • Experience professionally interfacing with decision-makers
  • Strong interpersonal and organizational skills
  • Ability to thrive in a highly collaborative work environment
  • Demonstrated initiative and ability to take on multiple tasks
  • Proficiency in Microsoft Office Suite and Yardi
  • Proficiency in conflict management, sales, and contract negotiations
  • Ability to maintain confidentiality of sensitive information
