Duties-
Using Microsoft Outlook, Teams, Word, Excel and Forms
Using Zoom, Microsoft Teams, and other platforms for providing virtual services. This includes being able to set-up and start meetings, monitor meetings for problems and troubleshoot/address technical issues for meeting attendees
Managing multiple tasks Ability to meet required time lines and prioritize duties to meet those time lines
Handling folders physically (lifting and placing them in file cabinets)
Filing (both physical filing and electronic records filing)
Data entry
Updating/managing daily and weekly spreadsheets
Emailing, scanning and faxing duties
Scheduling meetings including following time lines for sending out/receiving and distributing materials
Managing Several Outlook calendars
Joint mailboxes used for scheduling
Meeting notifications, attendance, etc
Maintain District Office Manager's (DOM) and/or Director of Counseling's (DOC) calendar, handle correspondence, reports, and other documents prepared by the DOM/DOC and arrange meetings integral to the work of the office on an ongoing basis
Respond to a high volume of telephone calls, voice mail messages and emails, to effectively manage inquiries, provide publicly available information, and answer routine questions.
