Duties-

  • Using Microsoft Outlook, Teams, Word, Excel and Forms
  • Using Zoom, Microsoft Teams, and other platforms for providing virtual services. This includes being able to set-up and start meetings, monitor meetings for problems and troubleshoot/address technical issues for meeting attendees
  • Managing multiple tasks Ability to meet required time lines and prioritize duties to meet those time lines
  • Handling folders physically (lifting and placing them in file cabinets)
  • Filing (both physical filing and electronic records filing)
  • Data entry
  • Updating/managing daily and weekly spreadsheets
  • Emailing, scanning and faxing duties
  • Scheduling meetings including following time lines for sending out/receiving and distributing materials
  • Managing Several Outlook calendars
  • Joint mailboxes used for scheduling
  • Meeting notifications, attendance, etc
  • Maintain District Office Manager's (DOM) and/or Director of Counseling's (DOC) calendar, handle correspondence, reports, and other documents prepared by the DOM/DOC and arrange meetings integral to the work of the office on an ongoing basis
  • Respond to a high volume of telephone calls, voice mail messages and emails, to effectively manage inquiries, provide publicly available information, and answer routine questions.
