Executive Assistant to the CEO

A dynamic, pediatric medicine corporate start-up is seeking an Executive Assistant to support the CEO. The Executive Assistant will play a critical role in ensuring the smooth operations of the newly formed executive office and provide high-level administrative support to the C-Suite.


Location: 2-3 days a week onsite in their coworking space in Needham, MA.

-looking for someone based in the Greater Boston Area and flexibility to travel 1x a quarter


Hours: 9-5 pm, with flexibility as needed after hours


Salary is commensurate with experience: $80-90k base + great benefits + PTO


Seeking:

  • 2-4 years of EA/Administrative experience, including experience supporting C-Suite executives
  • Background/knowledge in the healthcare landscape is a plus, especially within start-up organizations
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), along with travel, expense, and invoice management software systems
  • Bachelor’s degree preferred
  • Exceptional organizational and time-management skills in a fast-paced, dynamic environment


Responsibilities:

  • Manage the CEO’s calendar, schedule appointments, and coordinate meetings.
  • Arrange travel itineraries, accommodations, and transportation for the CEO and visiting executives.
  • Prepare and organize meeting agendas, materials, and minutes.
  • Handle incoming correspondence, including emails and phone calls, and prioritize responses.
  • Coordinate and facilitate communication between the CEO and the executive team.
  • Assist the CEO in managing special projects and initiatives, as well as research, and track project progress and ensure timely completion of tasks.
  • Oversee the maintenance of the executive office and team, ensuring a professional and organized environment.
  • Order office supplies and manage inventory.
  • Organize, manage and submit expense reporting and reimbursement for CEO and executive team.
  • Coordinate with IT and other departments to address office needs and technical issues.
  • Ad hoc tasks as needed, including secondary support to the executive team CMO, COO, and future CPO
