Formula Fig is adding a Senior Manager, People Operations to its team in a newly created role. You will report to the Interim VP, People and will be critical in shaping Formula Fig’s distinctive culture as the company grows.

In this role you will be responsible for optimizing and/or building policies, processes and technologies that result in a delightful employee experience and that work well at scale. You will have the opportunity to touch the full employee journey from candidate to onboarding, development, performance improvement, offboarding and compliance. You thrive in the detail and have a track record of supporting companies through significant growth - anticipating the breakpoints in the employee experience before they arise and coming up with cost effective solutions.

This position may require occasional travel to the Company's Fig Bar locations in Toronto, Vancouver, and Los Angeles (25%).

You’re the ideal candidate for this position if you:

  • Are an experienced builder: you’ve worked with organizations during periods of significant growth to build programs and policies to optimize the employee experience. An example of relevant experience may be using tools like GSheets and Asana to track and optimize the employee onboarding/offboarding experience, enabling the Company to track the employee journey and make the process more efficient.
  • Have experience evaluating current processes and policies, identifying areas that warrant automation and/or better documentation and then building that automation/documentation. You’re passionate about user experience and so you’ll engage with relevant stakeholders across the business from Fig Bar Managers, to payroll to front-line employees to better understand their experience and build processes that are aligned with organizational objectives.
  • Have experience working with BambooHR and building the relevant integrations to automate key aspects of the employee journey
  • Have experience building, deploying and managing bi-annual performance evaluations in a way that is efficient for both employees and managers and yields high participation and data retention.
  • Have demonstrated ability to deliver practical, cost effective and creative solutions to improve the employee experience
  • Have strong attention to detail
  • Have the ability to develop trust and credibility with candidates and senior leadership across the organization.
  • Have exceptional time management and prioritization skills
  • Have a demonstrated ability to analyze HR data and metrics and provide insights to support decision making; preparing reports that seek to provide relevant information and following these up with value add advice on how to address areas of opportunity surfaced through reporting
  • 5-7 years of experience in a People Operations role
  • Experience supporting retail or multi unite employees in a multi geography environment
  • Strong proficiency in GSheets, Asana, and the Google Suite.

The Senior Manager, People Operations Will Be Responsible For

  • Overseeing all HR Administration actions with support from the Payroll and Benefits Specialist. Ensuring that employee change requests are processed efficiently and accurately in such a way that yields quality data across our key HR and payroll systems.
  • With support from the Interim, VP, People and culture, developing and executing comprehensive HR processes across the employee lifecycle including:
    • Onboarding and offboarding
    • Total rewards and job architecture
    • HR data and reporting
    • Compliance
  • Building, deploying and measuring the performance review process including reviews, goal setting and development plans for support office and Fig Bars
  • Working with the Director, Finance to mentor and lead the Payroll and Benefits specialist
  • Providing first level coaching and development to Managers on employee relations, performance management with the goal of fostering a culture of continuous feedback and communication.
  • Staying up to date on compliance requirements across Fig Bar markets. With this knowledge you’ll ensure that the organization adheres to legal requirements across all areas of the employee life cycle. You will be responsible for leading necessary policy and program updates and deploying these to these organizations.
  • Working with the Interim VP, People, reining the roadmap for the Company’s HR needs inclusive, considering budget, resource and capability requirements
  • Building on the current Total Rewards strategy by conducting market research around compensation and benefits in the spa and esthetics industry. Working with our Chief Financial Officer you’ll ensure that the program is designed to incentivize behaviors aligned with company goals and values as they develop.
What to expect in your first year in the role:

  • Your first 90 days: During your first 90 days, you’ll spend time with the Company's Senior Leadership Team, Retail Leadership, and members across Formula Fig's Support Office and stores to learn how each function contributes to our business. You’ll work alongside our Fig Bar Managers, Guest Experience Associates, Guest Concierge Associates and Skin Educators to learn how we provide an immersive experience to our valued guests. You’ll have dedicated time with the Interim VP, People, Chief Financial Officer, and Director Finance and Payroll and Benefits Programs to understand the current state of people operations, HR systems, employee programs and policies. Once you’ve completed your robust onboarding, you’ll work closely with the Interim VP, People to begin building out version 2 of Formula Fig’s performance management program and be ready to deploy before the end of year. You’ll also be responsible for doing a deep dive on all of our people operations processes to establish your action plan for optimization, uncovering any gaps and recommending projects in order of priority.
  • Months 3 to 6: Now that you’ve developed a deeper understanding for Formula Fig’s brand you’ll be well on your way to building out Objectives and Key Results for 2025. You have developed a business case to support you in securing the necessary budget/resources to tackle the projects outlined in your action plan. You will have completed the first performance review cycle and be using both quantitative and qualitative data to inform necessary process improvements for the mid-year exercise.
  • Months 6 to 12: You will have made meaningful progress on the most critical areas of optimization and you’re well on your way to achieving your 2025 key results. You’ll be working with the Interim VP People on exciting projects like an annual review of the Total Rewards program to imagine a truly differentiated program that will make Formula Fig an employer of choice.
