ROLE DESCRIPTION:
Responsible for providing the field sales teams with reliable and high-quality administrative support. This position reports to the Director of Sales Operations, but also collaborates closely with Director of Sales for mCT, Women’s Health, General Imaging and Digital Radiography and the respective Account Executives. This role sits within the Sales Operations team, which interacts with the entire sales organization and is responsible for enhancing the overall operating efficiency and excellence of the sales function.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Primary Roles and Responsibilities
Coordinates the efforts with sales to get discount approval and organizes all necessary documents to be shared with entire team when needed
Involved in process improvements for sales support and identifies opportunities for efficiency with Sales Operations team
Tracks weekly reports from sales team and compiles results.
Uses Excel, ERP and Salesforce.com expertise to support value-add reporting for business insight for area and region, aligned with Sales Operations requirements
Responsible for generating weekly, monthly, quarterly, and yearly reports to support Sales teams and Finance:
1. Monthly, Quarterly and YTD Sales reports
2. Monthly AE’s commission report
3. Monthly dealer commission report
4. Quarterly AE’s quota attainment report
Responsible for resolving aged AR issues by proactively interacting with customers
Provide services in answering questions regarding LC and in documenting necessary files to be successfully able to collect the funds from the bank
Mentor and train the Sales Operations Coordinator and Analyst, ensuring their professional development and alignment with team goals
Create the employee evaluation matrix to assess the performance of the Sales Operations Coordinator and Analyst
ESSENTIAL DUTIES AND RESPONSIBILITIES: Order Processing
Oversee the team to ensure they perform the following duties
Review Purchase Orders and send PO receipt confirmation within 24 hours
Verify PO pricing, shipping terms(incoterms), payment terms and ensure that PO qualifies the NeuroLogica or Boston Imaging’s Sales Operations guidelines
Enter orders in Microsoft Dynamics GP with correct configuration, pricing, and terms
Save all necessary files in the salesforce for the order and share it with the entire Sales and Sales Operations team
Reconcile order files with finance team to complete invoicing and update the customer site list accordingly
ESSENTIAL DUTIES AND RESPONSIBILITIES: Sales & Marketing Support
Prepare slides for the supervisor for the weekly staff meeting
Daily communication and follow-up with all domestic and international Sales & Marketing staff and Dealers
Match Company resources with customer needs, referring internally as appropriate
Acquire in-depth industry and company knowledge to prepare complex proposals and make recommendations.
Maintain current knowledge of external market trends and internal sale strategies and operational capabilities
Effectively forecast sales and report to senior management on a regular basis
ESSENTIAL DUTIES AND RESPONSIBILITIES: Supply Chain / Inventory
Supervise and oversee the performance of supply chain coordinators, ensuring they meet their basic responsibilities
Educate, train, and mentor the supply chain and inventory coordinators to enhance their skills and knowledge
Oversee inventory control for DR and Ultrasound finished goods, implementing strategies to maintain optimal stock levels
Review sales demands regularly to minimize the risk of inventory shortages and plan inventory accordingly
Execute quarterly physical inventory counts in each warehouse, ensuring accuracy and compliance
Collaborate with the order processing team to discuss and reconcile any inventory discrepancies
Run and analyze monthly aged inventory reports, providing solutions to deplete aged stock effectively
Supervise the Ultrasound demo inventory analyst, ensuring efficient management and accurate tracking of demo inventory

Education & Experience
BA/BS in Business Administration, Communications, Marketing, or other related discipline preferred
Strong background in Sales Support, Supply Chain, and Inventory Management
Familiarity of CRM best practices and Prospect Management System operations
Must possess excellent verbal and written communication skills and work effectively in a demanding, fast-paced environment
Must be able to assemble facts from various areas, analyze data, and provide informed recommendations to management.
COMPUTER & ANALYTICAL SKILLS
Experience with CRM, preferably Salesforce.com
Advanced Excel knowledge
You must be excellent with technology, be able to present using a laptop, tablet, or via the web.
Must be able to demonstrate proficiency with MS Office package, including Excel, Word, and Powerpoint, as well as Outlook, Internet Explorer, and Google Chrome
PHYSICAL REQUIREMENTS
Occasionally lift and /or move up to 25 pounds
Frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl and talk or hear
Must be able to sit and/or drive for prolonged periods of time when travelling
Interaction with x-ray devices; for this reason, strict safety and tracking programs are in place, requiring the utilization of dose monitoring equipment either full time or as necessitated by situation
The noise level in the work environment is occasionally very loud
Specific vision abilities required by this job include Close vision, Distance vision, Peripheral vision, Depth perception and Ability to adjust focus
