SUMMARY DESCRIPTION

Under general supervision, performs a wide variety of clerical work in maintaining the daily, periodic and recurrent functions of an office. A Secretary may prepare purchase orders and correspondence; maintain electronic files and reports; may process the mail; may serve as primary contact in working with students, teachers, the public, and District personnel; performs basic statistical tabulations; and may be responsible for assisting with bookkeeping, financial record keeping, student attendance accounting and registration. Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the office and/or department.

EXEMPLARY DUTIES/RESPONSIBILITIES

Assists in the development of office policies and procedures; interprets rules and regulations for students, parents, employees and the general public; trains personnel in the performance of office duties and procedures; may make recommendations to appropriate administrators concerning school or departmental procedures and clerical personnel matters; tabulates statistical data and verifies information; greets visitors; screens callers; answers questions concerning school or district procedures or directs the public to the appropriate individual; sorts and distributes mail; arranges appointments; prepares and distributes or maintains all related entry and exit forms; maintains records of department personnel, their locations and telephone numbers and records and relays messages; maintains calendars, schedules appointments, meetings, and conferences; may issue transcripts; prepares and maintains forms, reports, files, or other documents and examines them for accuracy and completeness and resolves errors and omissions; composes non-technical correspondence and prepares letters, forms and reports from plain or rough copy, or established format; and payrolls; maintains financial and statistical records; may engage in cash transactions in accordance with prescribed procedures; and receives requests for records, such as transcripts, and fulfills those requests in a timely manner.

Additionally, When Assigned To a School:

May review all incoming variance information from inside and outside of the District, and verifies that information is accurate and complete; records variances; and prints reports; directs telephone calls regarding variance zones; maintains student variance information data base and prints reports of all variances; develops annual variance summary report. May respond to subpoenas authorizing release of student information; describes Privacy Act Law to individuals requesting information and verifies that records are being released to authorized individuals.

EMPLOYMENT STANDARDS

Education/Experience: Any combination equivalent to education and experience that could likely provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and experience would be:

  • Equivalent to a high school diploma;

AND

  • Three (3) years of recent records keeping and responsible secretarial experience.

Knowledge of: Operating standard office equipment including pertinent software applications; preparing and maintaining accurate records; analyzing; and problem solving; good grammar, spelling and vocabulary; the ability to perform simple mathematical computations; basic bookkeeping and financial record keeping; understanding of District and school rules, regulations, policies and operating procedures.

Skill at: Working with a minimum of direction; providing good and responsive customer service; establishing and maintaining effective working relationships; communicating with diverse groups; displaying tact and courtesy; maintaining confidentiality; setting priorities; being attentive to detail; adapting to changing priorities; and working with frequent interruptions.

Sch A: $17.70 (entry step)

Sch B: $20.98 (entry step)

Salaries are subject to adjustment and may increase and decrease each fiscal year. New employees hired by Washoe County School District are normally placed on the entry step of the grade of the position. View the salary schedules here.

This is a 35 hour a week, 200 day position.

Benefit packages are available for all employees, eligible employees who are regularly scheduled to work 27.5 hours per week or more receive full benefits of the District which include but are not limited to;

  • No waiting period on Medical, Dental, Vision and Life Insurance
    • Employees may select an insurance plan wherein WCSD contributes 100% of insurance premiums.

Temporary employees working less than 6 months do not receive benefits.

New employees will be fingerprinted upon hire and every five years thereafter and will have $58.50 deducted from their first paycheck to help defray the cost of fingerprinting. Non-licensed employees will have $58.50 deduction when their fingerprints are completed every five years. Fingerprint fees are subject to change.
