Receptionist/Human Resources Administrative Assistant

Position FLSA Type: Exempt

Position Status: Full time

Job Summary:

The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resources department. An important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. You will assist with creating policies, processes, and documents. HR Assistant qualifications and skills we are looking for include excellent organizational ability, familiarity with HR software and strong communication skills. You should be able to work autonomously and remain calm under pressure. Ultimately, you will ensure our HR department is organized and operates smoothly to attract, hire, and retain our employees.

Duties/Responsibilities:

Human Resources

Maintains accurate and up-to-date human resources files, records, and documentation.

Answers frequently asked questions from applicants and employees related to standard policies, benefits, hiring processes, etc. Refers more complex matters to appropriate senior HR staff or management.

Maintains the integrity and confidentiality of human resources files and records.

Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.

Provides clerical support to HR department.

May provide support to Payroll Specialist with answering payroll related questions, fixing processing errors and distribution of documents such as checks or W2’s.

Acts as liaison between the organization and external benefit providers and vendors, which may include health, ancillary and retirement plan providers.

Conducts or assists with new hire orientation.

Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday events and other organization celebrations.

Performs other duties as assigned.

Administrative Assistant

Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.

Answering, screening, and forwarding incoming phone calls.

Receive, sort, and distribute daily mail/deliveries.

Maintain office security by following safety procedures and controlling access via the reception desk (monitors logbook, issue visitor badges).

Order office supplies and keep inventory of stock, manage copy and breakroom supplies.

Perform other clerical duties such as filing, photocopying, keeping updated records, calendars, and schedule meetings.

Manage, clean, and organize the front desk.

Required Skills and Abilities:

Excellent written and verbal communication skills.

Outstanding interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

Excellent organizational skills and attention to detail.

Proficient with Microsoft Office Suite or related software.

Experienced with or the ability to quickly learn payroll management, human resources information systems (HRIS), and similar computer applications.

Education and Experience:

Associate degree preferred, or a minimum of 3 years related human resources experience.

Prior Related Office Experience Preferred.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
