Job Title: Property Management - Real Estate Services Coordinator
Work Location: PA242-Pittsburgh-1001 Liberty Ave #2
Pay Rate: $15.50- $21
Potential to convert to FTE, If so, what rate: Yes, 50K
Hours: M-F 8:30-5pm (30 min lunch)
Remote/Hybrid/In-Person: In-Person
Location: Pittsburgh, PA
Assignment Duration: 3 Months (Start 6/17)
Team culture: 27 story complex/office tower and parking garage
Attire is business Formal. The team is small but very knowledge and helpful. This is a great opportunity for someone looking to start their career in this industry.
Resource's typical working day: This candidate will be serving the Above and Beyond program. This is a concierge service that is available to the building tenants. They will scheduled conference space, ensure tenant amenity space is fully stocked, and coordinate events. They will be the first person people see when they come into the talent center. This candidate will also be answering the phone, uploading invoices, and validating insurance
Years of Experience needed: 1+ years of experience in a professional setting is required; Property Management experience is preferred
Level of Education: Bachelor's Degree is preferred but not required
Systems/Software proficiencies: Microsoft Office Suite
Top 3 Must have Hard Skills: Microsoft Office Experience, H.S Diploma, and front facing experience
Top 3 Must to have Soft Skills: Go getter, ready to learn, and people oriented
Top 3 Nice to have Skills: Angus anywhere work order program or Yardi or MRI, previous front facing real estate admin experience, and Bachelor's Degree.
Interview Process: two rounds of interviews
Work Equipment Issued: Laptop
High school diploma or general education degree (GED) and a minimum of three years of related experience and/or training.Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.Intermediate skills with Microsoft Office Suite. Under moderate supervision, provides general administrative support for assigned staff. Assists with tenant and vendor customer service. Performs a variety of administrative tasks for assigned staff including but not limited to phone support, draft, preparation and distribution of correspondence, expense reporting, calendar and scheduling, meeting coordination, filing and copying, etc.Maintains tenant, vendor and property files, including insurance certificates, lease abstracts, etc. in accordance with prescribed standards.Works with Building Technician staff and vendors to compile a list of maintenance items. May open work orders. Coordinates and monitors status of work assigned to vendors.Prepares internal lease administration documents such as lease abstracts as directed. Assists in lease administration activities including lease set up, lease changes, reporting etc.Codes invoices for payment, inputs into accounting system and forwards original invoices to accounting for payment. Prepare A/R status worksheets and reconcile A/R.May initiate rent collections correspondence and phone contact with tenant where permitted by state regulations.Performs other duties as assigned.No formal supervisory responsibilities in this position. May coordinate work and assign tasks.Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
