Boston Children’s Hospital is currently hiring for a Program Administrative Manager I: Pediatric Advanced Care Team (PACT) Program within Oncology. This role is hybrid.

General Summary

Manage all aspects of the PACT program. Develop and implement program plans, scheduling

and budgets. Identify and manage the development of new programs and monitor the performance of

programs and recommend changes. Assist and advise PACT Leadership on project initiatives.

Principal Duties and Responsibilities

  • Responsible for Pediatric Advanced Care Team (PACT) departmental operations
  • Manages the implementation of program goals and objectives.
  • May prepare budget proposals and recommendations and establishes budget control system for controlling expenditures; controls expenditures in accordance with budget allocations; recommends equipment and resources for program;
  • May manage project scope and timeline through formal change management processes manages project issues and risks through standard issue/risk process;
  • May manage, select, train, evaluate and manage unit or department staff for effectiveness and efficiency;
  • Work in conjunction with Sr Management to establish Program goals and objectives;
  • Work directly with program leadership on expansion planning;
  • Manage operational and philanthropic budgets;
  • Responsible for grant submissions to philanthropic organizations to support Program Fellowship positions;
  • Collaborate with Dana-Farber/Boston Children’s Cancer and Blood Disorders Center leaders on cross-institutional salary recovery agreements;
  • Review program operational effectiveness; implement appropriate procedures to ensure efficiency;
  • Provide operational support, policy interpretation, and revision of departmental and enterprise procedures for staff, students and administrators;
  • Responsible for monthly and annual program based educational opportunities;
  • Active and contributing member of program based and Enterprise-wide administrative committees;
  • Performs need assessments, evaluates and analyzes individual program and overall unit or department effectiveness; implements appropriate procedures to ensure efficiency and accuracy to fulfill the unit or department and campus mission;
  • Manages the development of internal systems and materials for delivery of programs and services;
  • Provides technical advice, policy interpretation, and guidance for application of appropriate procedures to staff, students and administrators;
  • Develops and facilitates or oversees the development and facilitation of workshops, seminars and orientations;
  • Developments information flyers, internal forms and various materials to facilitate unit or department programs and services. Interacts and maintains liaison with staff, faculty and outside/community agencies in facilitating program objectives;

Education

Required Education

  • Master's Degree (preferred)
  • Bachelor's degree and 4 years of experience.

OR

  • Associate's Degree with 6 years of experience.

Qualifications

Healthcare Experience:

  • Proven track record in healthcare settings, preferably with outpatient experience.

Budget Management:

  • Demonstrated experience managing budgets exceeding $500k with proficiency in budget reconciliation.

Communication Skills:

  • Exceptional ability to communicate effectively both orally and in writing, coupled with adeptness in handling challenging interpersonal situations with empathy.

Technical Proficiency:

  • Advanced skills in Excel and Smart Sheet for data analysis and reporting.

Stakeholder Collaboration:

  • Strong capability to collaborate effectively with diverse internal and external stakeholders.

Event Coordination:

  • Skillful in booking conference rooms, planning events, and coordinating logistics to ensure seamless operations.
