Statement of General Purpose: This position provides operational support to NWF’s Conservation and Education Programs with a particular responsibility for co-managing activities conducted at the Mid-Atlantic Regional Center (MARC) and NWF’s Gulf Program based out of the South Center Regional Center (SCRC). Major areas of responsibility include: (1) leading aspects of NWF’s financial systems, including making timely and supported recommendations on final budget decisions to regional and program leadership, assisting program staff with financial/administrative procedures, and providing fundraising and grant support; (2) supporting and inspiring a team environment and culture that advances NWF core values and commitment to diversity, equity, inclusion, and justice; and (3) oversight of program operations and internal communications.

This position will work in a balanced matrix style of management. They will report directly to the Senior Director of Operations and work collaboratively to support Executive, Operations and Program Leadership in the MARC and SCRC. This position will also work in close partnership with all support departments of the organization including (but not limited to) Finance, Philanthropy, Legal, Human Resources, and Accounts Payable.

Financial Management

Principle Duties (major areas of responsibility):

  • Ensure sound financial management including tracking expenses and revenues; manages the development and monitoring of MARC and SCRC budget reporting systems (directly responsible for managing annual budget of approximately $5 million);
  • Develop and implement budgets through projections, cost classifications, transfers and year-end carryovers; prepares and monitors program and grant budgets consistent with NWF’s financial reporting system;
  • Oversee and approve all expenses, including invoices, salary allocations, travel, office operations and special events.
  • Generate and oversee contract and grant agreements, including appropriate approvals and financial tracking;
  • Process and manage input of donations/payments received into the CRM system;
  • In tandem with Philanthropy and Finance staff, assist program staff in grant applications and reports, including tracking grant reporting requirements and ensure that all requirements are met.

Internal Relations

  • Work closely with Strategic Operations Leadership Team and other Operations Managers on best practices, policies and procedures to ensure sound management of operations for the programs they serve;
  • Nurture strong, working relationships with the Regional Executive Directors and program staff in the MARC and SCRC to support the needs of the regions and expand relationships and collaboration with other internal departments and staff;
  • Promote a productive, interactive, collaborative and fun work environment;
  • Assist programs in operationalizing and embedding equity and justice into their organizational policies, practices, and programs;
  • Communicate policies and procedures to office staff.

Operational Management

  • Maintain and promote a safe, efficient and productive office environment for the MARC;
  • Organize and/or assist with internal meetings, visits, retreats and special events and projects;
  • Assist with development and communications tasks, such as events and mailings;
  • Ensure systems and procedures are current and functional; keeps office equipment updated and in working order; ensure office is equipped with supplies to fulfill staff needs.
  • Supports Regional Executive Director in the negotiation of office lease, including modifications and renewals, and communicates with landlord regarding office space issues.

Qualifications

  • Minimum 5 years relevant experience in a budget preparation and/or management, operations, or administration capacity, preferably in a nonprofit setting
  • Proven skills in financial management and budgeting are essential, including grant management is strongly preferred
  • Strong interpersonal skills and the ability to deal appropriately with confidential and sensitive matters
  • Must have effective problem-solving skills and ability to meet unanticipated needs
  • Must be a strategic thinker, well organized, positive communicator; relationship builder and have a demonstrated ability to set goals and priorities, and meet deadlines
  • Proficient in Microsoft Office applications, spreadsheet, and database management

Physical Requirements Of The Job

Remaining in a normal seated or standing position for extended periods; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example, using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about the workspace. The position requires mobility, including moving materials weighing up to 20 pounds.

Travel Requirements

A commitment to some travel is required. Estimated 10-12 times per year (regional and national travel).

Location and Work Mode:

Compensation And Benefits

The salary range for this position is $72,000 - $75,000, commensurate with experience.
