Office Manager & Executive Assistant

We are opening a new office location in North Atlanta and are looking to fill an Office Manager & Executive Assistant (EA) role for the site. The Atlanta office will be our company’s 4th site and allows for expansion of our corporate team, growing from 3 current employees to another 10-12 anticipated. (Overall company size is currently less than 50.)This is a new role in our company, and we are excited about finding someone who is positive, loves to streamline processes and solve problems, is attentive to details, and strives to create an engaging work environment.


In the early days and weeks of this role, the Office Manager & EA will work closely with the CEO on setting up the office, coordinating property management and utilities, and securing office equipment and supplies. Once the new office is ready for move-in, this role will be the face of the organization, representing the FirstEnroll brand.


The ideal candidate will be proactive and have experience in handling a wide range of Office Manager & EA activities. This person must be exceedingly well-organized, flexible, attentive to details, able to work independently with limited supervision, and enjoy the challenges of supporting a growing company. This role will partner with HR, Facilities, IT, and Finance. Discretion with confidential information is an absolute must.


Office Manager & Executive Assistant Duties & Responsibilities

  • Support Executive Leadership Team (ELT) on-site and remotely by prioritizing emails, managing calendar scheduling, and coordinating appointments, as required.
  • Draft, review, and send communications on behalf of CEO and other senior executives of the company, as required.
  • Organize and prepare for meetings, including meeting logistics and document coordination.
  • Assist with preparation of presentation slides; edit material for consistency in format and accuracy in grammar.
  • Coordinate travel arrangements in line with corporate policy, including flights, hotel, and car rentals for a few executives.
  • Expense report processing and maintaining records/documents for a few executives.
  • Oversee general office operations and provide updates and reporting to the management team.
  • Maintain filing systems, office supplies, IT infrastructure, and inventory of orders.
  • Monitor office management and design innovative work systems.
  • Oversee guest experience, sort mail, and answer direct phone calls.
  • Plans all in-house or off-site activities of the organization, as requested.


Skills and Qualifications

  • High school diploma or GED required; bachelor’s degree preferred. Notary Public desired.
  • 2-4 years of experience as an Office Manager or Administrative Assistant required.
  • Excellent written and verbal communication skills; Organized and attentive to details.
  • Strong time-management skills with ability to multi-task.
  • Good understanding of Microsoft Office programs (Word, Excel, PowerPoint) with an aptitude to learn new systems and procedures.
  • Advanced interpersonal skills.
