Description

We are looking for a reliable, organized and proactive Office Administrator & Executive Assistant to join our dynamic team.

The Office Manager and Executive Assistant serves as the organizational heart of the NY office, managing both administrative tasks and providing personal support to the CEO. This role requires exceptional organizational skills, discretion, and the ability to handle multiple responsibilities simultaneously in a fast-paced environment.

As a key partner to the CEO, the EA is responsible for support of the executive team, management of the office, in addition to heavy partnership with the HR and Operations teams to implement and manage cultural events and programming.

The ideal candidate will be a self-starter, excellent communicator, and able to handle a variety of tasks with a high degree of accuracy and attention to detail.

Responsibilities

Office Management:

  • Be the "go-to person" for anything related to our NY office
  • Provide administrative support to ensure efficient operation of the office.
  • Oversee office facilities and ensure they are well-maintained and equipped.
  • Manage agendas/travel arrangements/appointments etc. for management
  • Help organize company events at the NY office, meetings, or conferences. This can involve coordinating logistics, booking venues, and managing invitations.

Executive Assistance

  • Maintain full ownership of the CEO's calendar; coordinating and setting up meetings with speed and precision
  • Organize travel arrangements, including flights, accommodations, and local transportation.
  • Manage and reconcile expense reports.

Partner With Operations / HR

  • Partner heavily with the HR and Operations teams to implement and manage cultural events and programming.
  • Organize events, happy hours in the office.
  • Maintain a welcoming and collaborative office environment
  • Provide a smooth onboarding experience for new team members
  • Champion the company values and act as a culture ambassador
  • Collaborate with HR to update and maintain office policies, ensuring they are current and effective
  • Collaborate on the US office Operations budget, ensuring smart and efficient use of resources

Requirements

  • 3+ years of experience as an office administrator, office assistant or relevant role at a startup company.
  • Experience supporting C-Level
  • Outstanding communication and interpersonal abilities
  • Exceptional organizational and time-management skills.
  • Strong problem-solving skills and attention to detail.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
