The ideal candidate will …
- Provide general administrative support, such as photocopying, scanning, and filing documents, handle incoming and outgoing mail and packages,
- Provide legal operational support to Managing Attorney, including office management tasks such as conducting weekly inventory for supplies, etc., business development efforts, and other tasks as instructed
- Prepare documents and emails for attorney review, including letters, forms, and spreadsheets, etc.
- Proofread documents and emails for accuracy
- Prioritize assignments and preparing sensitive and detailed correspondence, such as responses to requests for information, reporting developments on file to clients, from rough draft or dictation
- Input data into law firm software such as legal deadlines;
- Provide billing support to include time-entry, data review and correction, final submission to meet all Firm-required deadlines, maintenance of billing records, input expenses into legal billing software, process invoices and expense reports, and research of disputes and discrepancies
- Coordinating monthly pre-bills and necessary revisions
- Manage and coordinate logistics for meetings or events
- Scheduling appointments, making travel and/or meeting arrangements, and maintaining business calendars as instructed; keeping timekeepers on schedule to meet Firm-wide and practice group specific deadlines
- Specific projects, such as document production and retention, online research, compliance with security protocols for sensitive client information, etc.
- Maintain confidentiality and handling sensitive information with discretion;
- Be proactive, resourceful, and adaptable to handle unexpected tasks and challenges
Education, Experience, And Skills Required:
- College degree or equivalent required
- 1-2+ years administrative experience working in a law firm or professional services organization (preferred)
- Expert proficiency with the MS Office (Word, Excel, PowerPoint and Outlook) applications. This includes ability to proof and edit (using edit marks) non-routine correspondence, reports and tables for typographical (spelling and grammar) errors, and sentence structure
- Strong organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail
- Strong interpersonal skills and the ability to build relationships with staff and clients
- Must demonstrate professionalism, confidentiality, organizational skills, and the ability to be proactive.
- Executes work with a high degree of precision and accuracy
- Proactive approach to problem-solving and strong decision-making capability
- Strong written and verbal communication skills
- Strong organizational and judgment skills
- Ability to work under tight deadlines and prioritize responsibilities
- Ability to learn new concepts and skills quickly
