We report and publish stories in English and Spanish in our online publication, we work with immigrants and their allies to tell their own stories, and we train journalists to more ethically report on immigration issues. Borderless is seeking a Finance and Admin Manager to manage the nonprofit’s bookkeeping, administration and human resources.

Areas of Responsibility


Bookkeeping:

  • Process and track all accounts payable and accounts receivable (including invoices, bills, checks received by mail, grant awards, and expense reimbursements)
  • Process payroll benefits (such as 403(b), HSA, health insurance and other deductions)
  • Organize and maintain records for audit and annual tax forms, including receipts and process documentation
  • Complete all annual reports for state, retirement fund and insurance
  • Assist the external accounting team in closing books every month
  • Work closely with the Board treasurer, finance committee and staff leadership team on financial planning and assessment, including the development of the annual budget 
  • Update cash flow projection weekly and share the report with the leadership team


Administration/IT:

  • Own all general/maintenance—everything should be working well
  • Ensure we have appropriate space, layout, furniture, and supplies to do our best work
  • Ensure company insurance is up to date and process any insurance claims
  • Receive, answer and redirect all mail, emails and calls to the Borderless office, main number, and email   
  • Plan and schedule regular staff and board meetings/retreats  
  • Book reservations for staff travel and off-site meetings


Human Resources:

  • Manage onboarding and offboarding process for staff, interns, and board members
  • Schedule and sit in on biannual performance review meetings for each staff member and maintain performance review records
  • Plan and execute celebrations for staff birthdays, awards, etc.
  • Work closely with the leadership team to assess staff wellness and run a mental health buddy system

  • Proactive problem solving: Proactively develop solutions to challenges, including by constantly looking at big-picture progress on the programs team, and by flagging any potential upcoming challenges in the organization overall.
  • Flexibility: Ready to take advantage of unexpected opportunities; adapts quickly as things change.


Requirements

Our ideal candidate will:

  • Have at least three years of experience with bookkeeping
  • Be comfortable with Quickbooks, Salesforce, Google Sheets, Monday.com or similar tools
  • Have excellent organizational and people skills

Time Expectations

Borderless Magazine operates from 9 a.m. to 5 p.m. Monday through Friday. The majority of the manager’s work will happen during these hours, but the manager will occasionally need to work evenings or weekends for a special event or deadline.


Location

The director will be expected to work in person at Borderless’ office in Chicago’s Uptown neighborhood at least once a week.
