SIM Charlotte is looking for a highly organized and proactive person with excellent communication skills and an upbeat attitude to help lead SIM Charlotte board activities and initiatives. This position reports directly to the SIM Charlotte President and collaborates with SIM Charlotte members and external organizations. Flexibility needed to meet fluctuating daily time requirements of a volunteer organization. Must be accountable, self-directed, and possess strong interpersonal and organizational skills with ability to drive progress of organizational objectives.
Primary Duties and Responsibilities
- Help prioritize, track, follow up, and drive board agenda and subcommittee action items and initiatives.
- Manage set up and tracking of open items for self and board members in an online task tracking system.
- Communications planning, content generation, QA, and distribution
- Tracking of Membership recruitment and member onboarding activities
- Membership Engagement activity tracking (targeted reach outs)
- Program event planning, tracking, and execution (sponsor & venue coordination, registration setup, comms, name tags, etc.)
- Updates to SIM Website and LinkedIn updates
- Tracking of Action items from board meetings
- Ad hoc follow-ups
- Coordinate completion of tasks with other team members and follow up on status, ETA’s, progress, and outstanding issues for open items. Ensure the tracking system reflects current information.
- Escalate needs for help with other board members and leadership to keep initiatives on track and drive adjustments on a timely basis.
- Safeguard and facilitate process discipline so documentation, artifacts, and policies and procedures are keep up to date and stored consistently to ensure continuity of protocols across administration change.
- Connect with SIM Members as needed to support board initiatives and foster member engagement.
- Organize event details and logistics for both in-person and virtual events.
- Handle requests, feedback, and queries quickly and professionally, including membership reports, event registration reports, mailing lists, volunteer opportunities etc.
- Produce reports, presentations and briefs as needed for membership, events, sponsorship, and the board.
- Create and update slide decks for meetings.
- Assist in the ideation and execution of board agenda items as needed.
- Gather input from SIM National and other SIM Chapters as needed on best practices, points of contact, and information relevant to the success of SIM Charlotte’s programs.
Qualifications
Minimum 4 years’ relevant experience in Operations, Project or Event management
Strong planning and time management skills
Ability to multitask and prioritize daily workload for self and others.
Accountable and self-directed with minimal need for supervision
Ability to adapt and adjust quickly to challenges.
Flexible availability and ability to attend all local events
Ability to adapt to annual leadership changes.
Strong verbal and written communications skills in English
Proficiency with online office productivity and task tracking tools (Monday.com MS Office, Google Docs, MS Tasks, Trello, etc.)
Ability to create necessary graphics for LinkedIn posts, etc., as needed.
