As an Executive Business Administrator, you will contribute to and enable efforts in direct support of the CVP. In this role, you’ll drive business priorities and cadences, manage calendar, expense management, travel arrangements and meeting logistics, and provide leadership for the business support community. You’ll anticipate the fast-paced needs of the CVP and flexibly accommodate and prioritize demanding work and travel schedules.

Responsibilities

  • Strategic calendar management, including anticipating future needs and time planning prioritization support for the Corporate Vice President.
  • Cross-functional collaboration and communication with internal and external stakeholders.
  • Leadership of the Quantum Business Support community serving as role model with a passion for technology and growth mindset to adopt and encourage usage of AI in daily work to increase productivity of the community.
  • Rhythm of Business management, including building and managing the annual ROB in partnership with the Chief of Staff and CVP Office team.
  • Orchestrate key program-wide administrative tasks such as management of distribution lists and organizational charts.
  • Team player with collaborative mindset partnering closely with other members of the Office of the CVP on team management support, including recruitment and onboarding activities, communications, customer and partner experience and operations.
  • Project ownership, balancing multiple complex projects and timelines.
  • Event coordination and logistics management for signature events.
  • Resource management, including expense tracking and budget reporting.
  • Travel management, coordinating intensive global travel arrangements and itineraries.
  • Oversee space management and planning.
  • Demonstrates executive maturity and discretion in decision making.

Qualifications

Required Qualifications:

  • 7+ years of experience in Administrative, Business Support, or Customer Service roles, with an emphasis on scheduling meetings/events, travel management, and administrative work for executive/upper-level management, specifically at the C-Suite or CEO level

Other Requirements

  • Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings: 
    • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud Background Check upon hire/transfer and every two years thereafter.
Additional Or Preferred Qualifications

  • Experience supporting a geographically distributed organization.
  • Gravitas to build relationships at the level in multiple geographies and across various business areas.
  • Ability to align and motivate the Quantum Business Support community.

Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.16 - $64.90 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $43.08 - $71.25 per hour.
