Position Overview:
As the Executive Assistant, you will provide comprehensive administrative support to the executive leadership team, ensuring smooth and efficient operations. The ideal candidate will be a detail-oriented professional with excellent communication skills, capable of handling a wide range of administrative and executive support tasks with discretion and a positive attitude.
Key Responsibilities:
Administrative Support: Provide high-level administrative support to executive leadership, including managing calendars, scheduling meetings, preparing documents, and handling correspondence.
Meeting Coordination: Organize and coordinate meetings, conferences, and special events, including preparing agendas, taking minutes, and following up on action items.
Travel Arrangements: Arrange and coordinate complex travel itineraries, including flights, accommodations, transportation, and related logistics for executives.
Communication Management: Screen and manage incoming calls, emails, and other communications. Draft and proofread correspondence, reports, and presentations.
Document Management: Maintain and organize important documents, files, and records, ensuring confidentiality and easy access when needed.
Project Support: Assist with special projects and initiatives, conducting research, preparing reports, and coordinating with internal and external stakeholders as needed.
Expense Management: Track and manage executive expenses, including preparing expense reports, reconciling statements, and ensuring timely reimbursement.
Office Coordination: Oversee office supplies and equipment management, ensuring the executive office operates efficiently and effectively.
Relationship Management: Build and maintain positive relationships with internal and external stakeholders, acting as a liaison on behalf of the executive leadership team.
Confidentiality: Handle sensitive and confidential information with the highest level of discretion and professionalism.
Qualifications:
Bachelor’s degree in business administration, Communications, or a related field preferred.
Minimum of 3+ years of experience as an executive assistant or in a similar role, supporting senior executives.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong written and verbal communication skills.
