Our client is a newly established pediatric healthcare organization in Boston, MA. and a supportive environment for clinicians and staff. They are currently seeking an Executive Assistant (EA) with a patient and family-centric mindset to support the CEO.
Salary/Hourly Rate
$85,000 – $95,000

Responsibilities Of The Executive Assistant
- Manage the CEO’s calendar, schedule appointments, and coordinate meetings
- Prepare and organize meeting agendas, materials, and minutes
- Handle incoming correspondence, prioritize responses, and draft, review, and edit reports, presentations, and other documents
- Maintain confidential files and records
- Act as the primary administrative contact between the CEO and internal/external stakeholders
- Communication on behalf of the CEO, including drafting and sending emails and letters
- Build and maintain positive relationships with board members, executives, staff, and external partners
- Handle sensitive information with discretion and confidentiality
- Organize and coordinate executive meetings, board meetings, and other key events
- Arrange travel itineraries, accommodations, and transportation for executives
- Assist in planning and executing corporate events and functions
- Assist in managing special projects and initiatives
- Track project progress and ensure timely completion of tasks
- Conduct research and compile data to support the business in decision-making processes
- Oversee the maintenance of the office, ensuring a professional and organized environment
- Order office supplies and manage inventory
- Organize, manage, and submit expense reports and reimbursements for the leadership team
- Coordinate with IT and other departments to address office needs and technical issues
- Perform other duties as assigned
- Minimum of 4 years of experience as an executive assistant to C-Suite executive(s), preferably in the healthcare industry
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), along with travel, expense, and invoice management software systems
- Knowledge of the healthcare industry, especially value-based care and start-up organizations, is a plus
- Bachelor’s degree or equivalent experience is preferred
