Equipment Service Coordinator

The purpose of this job is to support the coordination of the service of our Equipment Fleet. Assist in keeping inventory on equipment designated for assignment. Support Operators when it comes to vehicle maintenance, fuel program and any operator required information. Help keep track of accident reports and repairs. Work with Shop Labor to prep equipment for assignment to EO’s. Schedule appointments for driver to pick up equipment and assist upon arrival.


Essential Functions

Equipment Service Coordinator report directly to and will be directed by the Equipment Manager. The following is a brief description of the Equipment Service Coordinator's job duties:

  • SAFETY- Actively participates in the jobsite safety program. Follow all company guidelines, policies and procedures ensuring a safe work environment for themselves and others.
  • Manage and maintain the jobsite equipment records:

- Accurate Backlog

- Warranty Considerations

- Hour Meter Records

- Daily Visual Inspections

- Fuel Reports

- Purchasing and Inventory Records as well as others

  • Schedule lubrication, servicing, and oil samples. Review oil analysis reports and bring potential problems to the attention of the Equipment Manager for review. In some cases, it may be acceptable to direct and manage oilers as needed.
  • Be involved in the Daily Visual Inspection Program by doing visuals and by tracking participation of job personnel in completing daily visual inspections.
  • Assist in ordering and expediting parts for the Maintenance Department and returning unused or unwanted parts. Follow up to ensure proper credits are received.
  • Schedule transportation as directed to move equipment as well as track and report all equipment arrivals, departures, and on/off rent events to the area equipment department. Also, expedite the shipping of equipment records and manuals for equipment moved off-site.
  • Check timecards for correct coding and adjust as needed.
  • Compare actual time for repairs against time requirement guides.
  • Develop repair estimates with the assistance of the Equipment Supervisors for work that exceeds eight man-hours.
  • Develop equipment utilization reports.
  • Update maintenance assignment sheets.
  • Each individual will be shown actual on-going repairs to become familiar with trouble shooting and repair procedures to prepare for hands-on mechanic experience.
  • Each individual will be shown all aspects of the Equipment Management Program to prepare for additional job responsibilities in the future.

The time frame for this training is strictly up to the individual in the position. Your advancement and responsibility level depends on your ability to learn and grow within our system of equipment management. Generally individuals will need 18 months or more to become proficient in all areas and become ready to move to the next step.

Required Skills & Experience

  • Must possess basic computer skills for tracking costs, inputting data, and report generation via the SAP ETM module
  • Must possess a good work ethic and be willing to relocate
  • Strong prioritization and organizational skills; detail-oriented
  • Strong verbal and written communication skills
  • Must be dependable, self-motivated and task oriented
  • Must be physically able to work outside in varying weather conditions
