Position Purpose
Under the general direction of the Senior Associate Athletics Director for Regulatory Affairs and Recreation, takes the lead on planning and executing the operations of the college’s recreation programs, including being the primary recreation administrator responsible event management and business and budget management operations. Assists in administration and operational execution of all Physical Education and Recreation programs including the college’s Intramural-Recreational Sports, Club Sports, Fitness and Physical Education programs.

  • Familiarity with athletics and recreation industry procedures and policies.
  • Proficiency in database management, spreadsheets, and other computer software.
  • Ability to manage logistical and administrative details of multiple tasks or projects.
  • Ability to plan work, set priorities, and respond to pressures, deadlines, and changes in schedules and priorities.
  • Excellent verbal and written communication and interpersonal skills.
  • Ability to work effectively, independently, and as a member of a team.
  • Ability to work with confidential information with discretion.


Preferred Qualifications
  • 3 – 5 years of experience in a related field.
  • Master’s degree, or the equivalent work experience.
  • Familiarity with athletics and recreation industry procedures and policies.
  • Experience with IMLeagues.

Key Accountabilities

Description
Intramural Sports Program
  • Administers all aspects of the intramural sports program, including league and tournament scheduling, recruiting, hiring training, and supervising of officials, marketing, player discipline, and hiring, and scheduling student support staff with attention paid to providing inclusive programs and services to underrepresented populations.
  • Serve as the on-site administrator for the execution of the Intramural events as assigned. This includes check-in procedures, student staff management intramural rules enforcement, venue preparation and maintenance, and awards presentation. Overall, ensuring the creation of a wholesome environment for intramural activities.
  • Serves as an additional support resource for registration, scheduling, and maintenance of intramural participation records.
  • Determine employee schedules, monitor schedules for accuracy and adequate supervision, adjust scheduling based on availability and budget, and oversee bi-weekly payroll review.
  • Enforces established policies and procedures relating to intramural participation.
  • Collaborate with Residential Communities House liaison/council for House IM competition each term.
  • Coordinates venue, equipment and supervisory needs for intramural sports event requests.
  • Manages the web-based scheduling and participant registration program for intramural activities (IMLeagues); manages the scheduling of leagues/games, sends email reminders of sport deadlines, collects participation data for reports, updates sport rules, captains’ quizzes and the intramural sports handbook accordingly with proper evaluation of IM play after each season.

Description
Administration
  • Responsible for assisting Sr. Associate AD for Regulatory Affairs and Recreation with strategic leadership and direction of Dartmouth’s Physical Education and Recreation programs.
  • In consultation with the Sr. AD Regulatory Affairs and Recreation and Director of Recreation Operations, develops budgets and exercises budget control over all assigned programs and activities.
  • Serves as the primary recreation administrator responsible for business operations and budget management including serving as the recreation unit’s primary liaison to the DCARD Business and Financial Office and campus fiscal management units.
  • Responsible for creating and overseeing event operations and event management processes and procedures for all recreation operating areas.
  • Responsible for the development of the Recreation unit’s event operations and event management publications, handbooks and manuals
  • Manages part-time staff who support Clubs Sports and Intramural Sports Programs. Including Club Sports coaches.
  • Oversees the training of staff on administrative and business and budget management policies procedures.
  • Responsible for assisting in content creation for Physical Education and Recreation unit’s external communications and marketing including the production of promotional materials and announcements regarding program offerings throughout a range of media that include, but are not limited to, social media and email campaigns.

Club Sport Program
  • In collaboration with the Sr. Associate AD for Regulatory Affairs and Recreation and the Assistant Athletics Director for Recreation Administration, serves as the designated primary sport administrator for selected club sports.
  • Provides support to club sports student leadership through mentoring and assisting with scheduling, team travel and practice planning.
  • Assists club sport student leadership in administrative procedures such as annual club registration and zero-based budget submission.
  • Monitors the experience of club sport student-athletes and the quality of experience in each program

Description
Event Management
  • Serve as on-site event manager for numerous varsity, club, intramural and recreation contests and events, including many during non-traditional business hours such as weeknights and weekends.
  • Greet officials, show to locker room, and ensure that assignments are correct for proper payment.
  • Greet visiting team coach, show team to locker room, and be of any assistance.
  • Ensure proper facility and equipment set-up for events. Coordinate with event workers to ensure that their responsibilities are clear, and duties are being performed properly.
  • Assist fans with any issues, concerns, or questions.
  • Handle any emergencies on-site (injury on field, weather issue), assist with crowd control (act as a liaison with Dartmouth Safety and Security and Hanover Police, when applicable) and troubleshoot.
  • Participates in the coordination, organization, and implementation of athletic varsity, club and intramural tournaments as well as club sports, Ivy, ECAC and NCAA post-season championships.
