BUSINESS MANAGER JOB DESCRIPTION


OVERVIEW:

As a key member of the Business Office, this Business Manager must possess strong organizational, analytical, and complex task-management skills. A customer service-oriented attitude and excellent interpersonal skills while handling confidential information is essential. The ability to manage time effectively and work independently are vital. 


Founded in 1989, Arbor School of Arts & Sciences is an independent K-8 school located on 21 acres of wooded farmland in Tualatin, Oregon. Arbor is also home to the Arbor Center for Teaching (ACT), a two-year teacher residency program which offers an innovative teaching apprenticeship in a laboratory school setting. 


Arbor School serves children ages five to fourteen. Each class is limited in size to assure individual attention through low student-teacher ratios. Mixed-age grouping is an important feature of Arbor education; we believe that combining ages creates classrooms that focus on individual talents and collaborative learning rather than on grade-level norms.


ESSENTIAL DUTIES and RESPONSIBILITIES 

Accounts Payables, Reimbursements, Credit Card Management, and Reconciliation:

  • Review all invoices and documentation for appropriate approval. Input in accounting system (currently Quickbooks Online)
  • Ensure accurate and timely payments, staff reimbursements, and transfers
  • Ensure accurate tracking and recording of credit card expenses
  • Process bank ACHs and wire transfers
  • Prepare and send 1099s


Accounts Receivable: Student Tuition, Fees, and Donations:

  • Enter tuition payments via FACTS tuition. Manage collection of tuition arrearages, when required.
  • Assist in preparation of tuition billing files for FACTS, including predetermined tuition payment plans.
  • Prepare for and participate in the financial aid award process.
  • Calculate tuition insurance.
  • Ensure accurate and timely recording and deposits of donations and gifts to Arbor School.
  • Prepare year-end tax letters to donors.
  • Manage cash collections from school events.


Payroll, Salary, Paid Time-off, and Benefits:

  • Guarantee the accurate, timely, and confidential processing of monthly payroll using isolved, which includes salary, deductions for benefits, and retirement.
  • Support the health and dental insurance budget and renewal process. Communicate benefits with new employees and assist in signing them up for benefits. Manage annual open enrollment.
  • Prepare and process contracts each school year.
  • Manage HSA enrollment, monthly deductions, including Arbor contributions.
  • Manage 403b enrollment: track, reconcile, and transfer funds monthly. Compile annual census. Communicate with teachers and staff and update match with each new pay-scale year.  
  • Approve and send W-2’s for calendar year-end.


Month-end closings, account reconciliations, quarterly and annual filings, budget:

  • Manage timely and accurate month-end closing.
  • Reconcile APT (Arbor Parent Teacher) and ACT accounts and prepare reports.
  • Reconcile all monthly bank and investment statements with general ledger.
  • Participate in year-end close. Prepare schedules and compile information for the auditors.
  • Work with the auditors to prepare accurate and timely 990 tax filings. 
  • Assist Head of School in developing and preparing annual budget


EDUCATION and EXPERIENCE: Bachelor’s Degree with three years full charge accounting and audit preparation experience for a non-profit. A solid grasp of GAAP accounting and general accounting concepts. Advanced accounting software applications preferably QuickBooks, payroll processing, and benefit management experience are essential. Strong Excel, Word, google docs skills are required. 


REPORTING: This position reports to the Head of School.
