Position Overview

Our Assistant Vice President Board Liaison & Executive Administrator will assist our Vice President Board Liaison in representing the First Commonwealth Board and President/CEO to internal and external stakeholders. Provide administrative support to First Commonwealth’s Volunteers (Board, Associate Board, Board Emeritus Members, Supervisory Committee and other Committees), and to the President/CEO.

Responsible for managing member feedback that is addressed to the President/CEO or Board. Manage internal communications coming from the President/CEO, using available tools and resources to keep employees apprised of key initiatives and trends.

Job Responsibilities

  • Board liaison – Play a vital role in the credit union and assist the Vice President Board Liaison in serving as main source of facilitation for in person and remote meetings, facilitating and tracking board development plans and tools (e.g. OnBoard), facilitate and support the board governance process, including board committee support.
  • Board support – Create monthly board package, upload and maintain information on SharePoint and/or OnBoard, support the governance process, travel arrangements, expense reports, arrange and attend board and member related events such as board meetings, annual meeting of members and strategic planning sessions.
  • President/CEO support – Manage calendar, return calls, emails; open/respond to mail; draft correspondence; set up internal and external meetings; expense reports; assist with board meeting agenda development; attend internal meetings on President/CEO’s behalf when appropriate. In general, doing all possible to keep the President/CEO organized.
  • Alignment and Support Strategy - Help the Board Chair, President/CEO and Committees to be aligned with the Credit Union’s strategic plan and to be proactive in helping them meet the strategic goals. Participate in and support the Credit Union’s strategic thinking, planning and leadership.
  • Promote Continuing Education and Development of the Volunteers - Assist Credit Union and Board in conducting, communicating and acting on regular governance, Board, Board Member self-assessments, peer-to-peer Board Member assessments, Board officer assessments, and committee assessments. Assist in helping to identify desired skills and qualities in future Board Members and Committee Members. Assist committees administratively and with governance expertise in helping to ensure compliance with Credit Union policies and procedures.
  • Facilitate Effective Board Communications and Meeting Materials - Maintain discretion and confidentiality in relationships with all Board and Committee Members. Assist in coordinating the agenda of meetings and distribute the Board meeting information packet and optimize quantity, quality and frequency of information distributed to the Board. Work with Committee Chairs to compile all Committee reports and prepare Board meeting minutes for approval by Board.
  • Manage high level member feedback that comes to the President/CEO or Board – ensure President/CEO is apprised of member service issues and trends; member feedback monitoring, tracking, and reporting.
  • Lead internal communications efforts on behalf of President/CEO – Use intranet and other tools and resources to keep employees apprised of key initiatives.
  • Board Portal (OnBoard) – Responsible for the administration, training, and support of the board portal. This includes serving as the IT help desk when volunteers experience issues with the portal.
  • Support Chief Strategy Officer with planning and execution of key cyclical events, including but not limited to: Annual Town Hall Meeting, Annual Member Meeting, Member Appreciation Events, Annual Strategic Planning Meeting.

To Succeed In This Role, You Will Have

  • 8-10 years of related experience.
  • Managerial and vendor management experience.
  • General business knowledge/experience, understanding of financial statements and board governance.
  • Knowledge of the Federal Credit Union Act, bylaws and regulations that apply to federal credit unions.
  • Fundamentals of banking and financial services delivery.
  • Proficient in Microsoft Office (Excel, Word and PowerPoint) and Outlook (Email and Calendar) and web-based technology.
  • Excellent oral and written communication skills.
  • Exemplary organizational skills.
  • Strong problem-solving, time management and prioritization skills.
  • Budgeting creation and oversight skills.

Preference will be given to those who have Bachelor's degree in business, communications or related field along with experience in a financial services institution.
