Job Description

Universal's Global Partnership Marketing team is looking for an Administrative Assistant who is passionate about film and partnership marketing. This person will be responsible for managing schedules, coordinating meetings and handling travel arrangements for the Executive Vice President of Universal Pictures’ Global Partnership department.

Essential Responsibilities

  • Manage and coordinate high volume and complex schedules and meetings with internal and external parties, utilizing multiple calendars
  • Coordinate travel schedules and arrangements and manages P-card and expense reports in accordance with Travel Policy guidelines while ensuring all expenses are processed in a timely manner
  • Assist and partner with other department members as necessary
  • Assist with making arrangements for temporary help, storage, meeting offsites and trade show coordination
  • Perform all administrative tasks, including but not limited to faxing, photocopying, recordkeeping and manage filing system for all workflow coming in and out
  • Maintain contact lists of external brands and agencies
  • Assist with deck making, creative mock-ups and brand research
  • Help oversee interns
  • Must maintain a high level of confidentiality at all times

Qualifications

  • Minimum 1 year of administrative experience
  • Proficient in Microsoft Word, Outlook, PowerPoint, Keynote, Photoshop and Excel
  • Excellent verbal and written communication skills

Desired Characteristics

  • Prior experience in sales or marketing preferred
  • Interest in sales and marketing is highly desired
  • Bachelor's degree preferred
  • Demonstrate initiative by confidently self-starting improvements to office procedures, reports and processes and requires minimal supervision
  • Extremely organized and detailed orientated with the ability to multitask while minimizing errors
  • Team Player - Demonstrate ability to work on a team and willingness to provide assistance to co-workers in other areas
  • Flexibility - Positive attitude and demonstrate acumen working in a rapidly changing business environment

Additional Requirements

Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks. Salary range: $47,500.00 - $60,000.00 (not bonus eligible)
