Master data is at the heart of an effective and efficient modern business. Employee theft is considered the most serious crime affecting businesses, with losses estimated in the hundreds of billions of dollars. While collusion is one of the hardest forms of theft to prevent, the purpose of this initiative is to create an environment that makes stealing as difficult as possible.
This initiative recommends 4 actions to limit and attempt to mitigate this risk:
    1. Create an Anonymous Reporting System (ARS):
    2. Perform a scheduled quarterly and a yearly random Valid Business Audit (VBS):
    3. Update to language and fields within client Vendor Profile Form (VPF)(Creation form for vendor set-up):
 Require 2 signatures for vendor approval.
 Update of language for clarity and reflection of a more action focused tone.
 Change from any Senior SSC sign-off to requestor’s manager sign-off for new vendors.
 Language to enforce signature of requestor’s manager for new vendors.
    4. Internal LS Anual MD & Contracts policies and procedures education:
Employees need to be informed about policies and procedures related to fraud, the internal controls in place to prevent fraud, and the organization's code of conduct and ethics policies, and how violations of these policies will be disciplined. Employees should receive annual training on these topics and on the definition of what's considered fraudulent behavior, and sign an acknowledgment each time.
 Once a year a Master Data and Contracts policies and procedures class will be given by internal management to cover the following (Completed by December 31st of every calendar year):
o Internal MD and Contracts Policies
 The “Liberty Source Master Data and Contracts Internal Policy – LSMD1” document will be presented to employees and signed once a year.
o Any Client MD and Contracts Policies
    o Service Level Agreements
    o Client SOX Controls
o Review of “Liberty Source & AOL Master Data Initiative”
