You're faced with a sudden venue change for an event. How do you adapt and ensure its success?

Last-minute venue changes can be stressful, but I've learned to remain calm and think on my feet. Just 6 hours before our scheduled shoot, I received news that our original location was no longer available due to unforeseen circumstances. I quickly identified a suitable alternative location which we had recce before and contacted the owner in the middle of the night to request urgent assistance. Fortunately, they were willing to accommodate us. To ensure a seamless transition, I delayed the call time for the artist by 3 hours, providing ample time to redirect the team and relevant departments to the new location. Through swift decision-making and effective communication, we were able to adapt to the change and execute a successful shoot.

A sudden change of venue can make or break you as an event organizer. Being calm and quickly spreading the news across to all stakeholders about the change of venue is the first ideal thing to do.

Definitely when an event changes of venue I recommend a VUCA strategy: Volatility is all about the speed of changes happening in the world, such as, globalisation, climate change and technology. The speed of the changes we are experiencing inevitably leads to uncertainty. To what extent can we predict the future and how do we prepare? Do we have the knowledge to interpret the facts we are facing? Or are we, perhaps, dealing with an information gap? Complexity is about the numbers of factors we need to consider, the interconnectivity of our environment and the ability to analyse it. Ambiguity has to do with the ability to interpret what’s in front of us.

When notified of a venue change, your first step is to stay calm. Panic can cloud judgment and lead to poor decisions. Take a deep breath and approach the situation methodically. Begin by reviewing your event's requirements and how they fit with the new venue. If possible, visit the new location immediately to assess its suitability, checking for space, accessibility, and potential issues. This will help you quickly develop a plan to adapt your event setup to the new environment, ensuring minimal impact on the overall experience for your attendees.

As part of usual production practice which i have learned from doing several shoot with freelance professionals . I have made a habit of creating whatsApp group and add all the concern professionals for the shoot in that , so that any update in regards to shoot can be updated and relayed rather then individual/personally communicating each member . It has helped me several times. I remember there was one team member who was not responding but luckily a team member who was residing next to his home , had seen the broadcasted message , so he went to his door and updated him with the vital update on the group in person and ask to respond on group too.

If you have key Leaders who are responsible for each part of the event. The messages can be sent out to them to enable fast communication to everyone involved. Using a group message sent via WhatsApp, LinkedIn mail group, facebook group or similar.

Effective communication is crucial when dealing with a venue change. Inform your team, attendees, vendors, and other stakeholders about the change as quickly as possible. Use all available channels—email, social media, event apps—to disseminate the information. Be clear about the new venue details and any adjustments to the schedule or logistics. Transparency is key; provide reasons for the change if appropriate and reassure everyone that the event will proceed as smoothly as possible.

Notifying vendors promptly about the venue change is crucial. As a production manager or line producer, my job is a 24/7 responsibility, from the early call time until the director's final "PACK UP" command. I ensure seamless communication with caterers, decorators, equipment suppliers, and other service providers, updating them on the new location, delivery schedules, setup times, and other essential details. By maintaining open lines of communication, I guarantee that our vendors are well-prepared to adapt to the new venue's requirements, delivering top-notch services without compromising on quality. Only when the director's satisfied and the shoot is wrapped can I finally take a breath of relief and feel a sense of accomplishment.
