Here's how you can ensure all team members meet their deadlines as a production manager.

Setting goals is an essential part of being a production manager. 1. Set realistic tasks for each team member 2. Give an overview of the project timeline and have everyone present so that each knows what the other is doing 3. Set milestone, checkpoints to ensure that the task given is progressing well 4. If possible, have a buddy system to ensure there are accountability checks 5. If the project is critical, set up a reward for promote a healthy competition

The team I work with and I use Asana. But any similar project management software is great. This helps us see what needs to be done and a project can be broken down to small tasks. It’s so nice having a dedicated platform that the whole team uses to move a project forward. It brings so much more unity.

The biggest key to making sure you meet deadlines is to set up a timeline of when due dates occur and what the partner is to be given at each due date and build into that time line some wiggle room in the event something takes longer than it should . Also getting partner sign off before you start the project so everything is crystal clear is huge.

Effective communication is crucial for a film production team. For instance, holding daily morning briefings to review the day’s schedule and address any potential issues. Using collaborative tools like Shotgun and Google Drive to share updates, scripts, and shot lists in real-time. This ensures everyone, from directors to crew members, understand their deadlines and the importance of their roles, preventing misunderstandings and keeping the production on schedule.

Anyone in management on any level should understand that constant communication is the key to success. You need to set the goals early and communicate them to the team clearly. You need to repeat those goals and make sure every member of the team understands them. You need to seek feedback from your team members, if they are struggling. You need to check in with your team members even if they seem like they understand the task. Short of micromanaging, you should be on top of every aspect of the product, that way you can head off any problems before they become major issues.

Having a system for communication is key for getting projects back on time, ready for review. We use Notion Calendar and sync our Deliverables to editors and add the start and delivery date for projects to the calendar. So for example, each week our editors start their first project of the week on Monday and deliver the first draft on Wednesday. Then they'll start their second project on Wednesday and deliver the first draft on Friday. Revisions for any and all videos are due 48 hours after having received them. Using this method, we can keep our editing team full remote without having to keep track of their hours. As long as the projects get turned in on time, then we're good to go!

For example, the production team prioritising shooting scenes with key actors first due to their limited availability. This involves coordinating schedules and focusing on critical shots to avoid delays. By ensuring these time-sensitive tasks getting completed early, bottlenecks were prevented, and the entire production remains on track, ensuring resources were allocated where they were needed most.

My role involves reviewing every department to ensure that any feedback or sources of information have been addressed, and that any issues have been resolved. In order for each team to be successful in completing the project, this is a necessity. In my opinion, it is very important to prioritize effectively so that resources are allocated in the most efficient manner possible.

Without monitoring progress,it's difficult to determine if you're on track to achieve your goals or if adjustments need to be made to ensure success. Seeing the progress of your team members no matter how small can be incredibly motivating.It can help you appreciate the effort they put in and encourages them to keep going.

When a manager stands up for their team, it builds trust and confidence. Team members feel supported, valued, and more engaged in their work. Supporting your team can significantly boost morale,improve productivity and promote a happier,healthier work environment. 

Something else to consider is having a set of rules and requirements before projects are submitted for review. Rules like, video exports that are 15 minutes or under must be watched all the way through before submitting for review. This ensures we don't receive bad exports with black frames, missing media, and obvious errors that should be taken care of before submitting for review. A seasoned professional will take for granted just how experienced they may be. Some of the rules and requirements to turn in a project may seem like common sense but it's only after many years of experience do you know those best practices. It's up to you to KNOW what your novices DON'T and to very clearly put that down on paper as instruction and training.
