What do you do if your internal communication technology is outdated and ineffective?

Updating outdated internal communication technology requires a deliberate approach, rather than impulsively adopting the latest trends. This should begin with an evaluation of the existing system for its deficiencies and areas for improvement. It is important get feedback from employees. We need to have a good understanding of the user experience to validate system's limitations and issues and areas for improvement. Based on this, we can outline what we need from an updated system. This should address the identified gaps and contain must-have features such as user-friendliness, flexibility, scalability, and affordability. Insights and experience from industry peers who have undergone similar upgrades can also help us avoid common pitfalls.

Ao pensar numa ferramenta, é ideal já ter mapeado qual será a finalidade daquele canal de comunicação, e como se dará o processo de migração de canais. Trabalhar com múltiplos canais sem pensar na estratégia, pode acabar gerando ruídos e comprometendo o ciclo de comunicação.

Außerdem: Gesetzliche Vorgaben zur digitalen Kommunikation mit Pflicht- & Abo-Kanälen in Unternehmen beachten! Nachhaltige Kommunikation bedeutet das Bewährte bis ins kleinste Detail durchsetzen. Damit geht auch die sichere Umsetzung neuer Vorgaben einher.

Na minha experiência, TUDO deve ser muito comunicado e explicado! Muitas das vezes, a dúvida/confusão causa a repulsa da mudança! Primeiro vale um "Save The Date" mais explicado comunicando uma mudança de plataformas, após, comunicados complementares com as principais dúvidas que surgirem e as informações mais fundamentais. Enquanto isso, prepare uma surpresa/experiência para o grande dia! Vale pensar em montar vídeos de tutorial!

Any kind of adoption or behavioural change has to be given time. Not everything can be quit cold turkey including an old intranet. Time needs to be given to employees to adapt and giving access to both the old and new platforms concurrently for some time helps. Sustained interest and communication is a must for a smooth transition as interest can drop pretty quickly too!

When we knew we had to change content management platforms, we reviewed our options, made the decision to go with the best fit for our needs, and got in touch with specialists to help with the migration. A estratégia de comunicação interna deve estar sempre alinhada com tecnologias e melhores práticas do mercado. Os colaboradores tendem a adotar e interagir com ferramentas similares com o que utlizam fora do ambiente de trabalho.

Often, you don't get to choose the internal communications technologies that the organization has invested in. However, it is wise to go the source and figure out the rationale for the purchase before making any decisions about changing. Then, check how the current needs are met by the technologies internally. Also, understand the contracts and when and how they work with the vendors involved. Are there ways to renegotiate on elements that are unwanted or underutilized? Build a business case for change once you have these answers.

If the technology is outdated and ineffective, cut your losses and move to a platform which works. Make sure you assess the new platform before you invest in it. No point trying to make a redundant platform work.

In my opinion technology is often prioritised over content and meaning in conversations and approaches around internal communications. I would start by asking who are you trying to reach? What are their priorities? What do they need to hear rather than what do you want to tell them. Starting from this audience informed position is rare but also essential in executing a successful internal comms program that informs, engages and motivates people as human beings, not just cogs.
