Here's how you can collaborate effectively with vendors to ensure a successful event.

It has always been important to me to meet in-person with the vendors I collaborate with and hire. I like to get a sense for how they experience the world and what kind of energy they bring to the relationship. Sometimes it is okay to be a vendor/person who just does exactly what they say they'll do and other times I need more than that.

As an event planner that's participated in events also as a vendor, let me first say that being familiar with your vendor choices, offerings, and market is a great start. Does their audience overlap with yours? Is their market non-customers of your own product or service & can you convert them? Have you worked with them before & are you able to capitalize on that relationship? My best projects have always had the support of unconventional vendor relations that ended up providing insight & unexpected value (i.e. joy) to our event. That jump in value-add always translates to a positive vibe for everyone: production, attendees, and everyone in between.

I can truly say that i do not work any more in events that the 3 main vendors (catering, sound- lights, florals) are vendors with whom I have worked with success in the past. It can be very tricky at least in Greece were i mainly work to run events with suppliers that do not know how to keep the balance and protect all sides accordingly.

Make sure that you identify points of contact for each vendor. In my experience planning needs to go through different departments (F&B, engineering, security, etc.) and all the departments need to have meetings on a regular basis before the event.
