    To wrap up the final elements of the summit, we’ve enjoyed hearing from Jenny Thornton from ATPI and Jamie Finnie from NES Fircroft talk about the importance of partnerships when it comes to integrating technology.  We also dived into the Middle East landscape, in a roundtable hosted by Nada Zrikem, Director of Client Partnerships MENA, AltoVita and again from Souhilla Taarabit  - questions were raised around how can companies get a true glimpse of what life is like for families relocating to Saudi Arabia, and why sometimes the region is lumped into one basket, when like Europe it's full of many regional differences. We also heard from Khadeeja I. Islam, Head of Global Mobility, Aggreko; Magdalena Jennings, Global Mobility Business Partner, Equinix; and Lisa Reid, Director, Client Services EMEA, Altair Global in a panel called “From Road Warriors to Interns, How to Manage Different Personas” that was moderated by Beverly King MCIPD King, VP of Client Partnerships, AltoVita, They discussed how cultural training is making a comeback - and while technology plays a part, having someone on the end of a phone is important when walking someone through a relocation. And to round off the 4th Smart, Safe, Sustainable Summit, we heard from Carol Fergus, Director - Global Travel, Meetings and Ground Transportation, Fidelity International, who shared her take on the day, which centred on the theme of inclusivity: "Working with AltoVita is about being inclusive, the integration you get, the transparency you get."

    For the next part of the Smart, Safe, Sustainable Summit we heard from Samantha Van Leeuwen, Head of Hotels and Venues at PwC. During her fireside chat with Vivi H., she spoke about her work promoting the use of serviced apartments for employees. As well as lowering costs, she believes they’re better for staff from a DEI perspective. For example, in terms of neurodiversity, if people want their own “alone space”. She also shared more about her work with the Meetings Industry Association - as she wants to be able to give back, and educate venues about best practices when working with large corporations. She also wants to promote awareness of the hospitality sector. “I still have some cousins who still think I’m a cook - because you’re in hospitality.” she said. Delegates also heard how she was an early adopter of serviced apartments, developing the concept about 18 years ago to PwC. “We struggled to find availability for good hotels that people would like, that’s how I stumbled across serviced apartments,” she recalled. Meanwhile, our Destinations roundtable sessions have so far covered Emergency Relocations, and North & South America. For the first, co-hosted by Cheryl Barrett, participants heard how suppliers, including agencies and suppliers, needed to train their staff to cope with assignees facing an emergency relocation. "Train staff so they perhaps know they’re not going to be dealing with a smiley person - they’re going to be leaving their home. Don’t dramatise it. Show that it’s not always easy - they may perceive it as someone’s not being grateful to them." It was also important to have a plan. “Present a plan that they can buy into - instead of saying 'Run!'" said one participant. It was also important to understand employees' situations, as well as location. "You need to know your employees before you make a decisions, you need to know how they react," said another participant. Finance was another area discussed. One participant noted when employees left Russia, they suddenly had no access to money. So it was important to be able to lean on partners supplier to provide emergency funds. This was also an area some fintech startups were exploring, being able to provide an IBAN for someone even if they didn't have enough documentation. Another key aspect was to be flexible: "Terms and conditions get negotiated on the go - be flexible, otherwise things don’t get done and assignees get stressed." The destination roundtable discussed the complexities of relocations in South America, and was co-hosted by Lonn Kammeyer. "It's much more complex than Europe," said one participant, advising the need to use local immigration lawyers, as there can be lots of paperwork involved. "It's a much more complex beast... You need to have people on the ground who know specific people.” Countries like Brazil, Chile and Colombia were growing in popularity too, with growing numbers of Chinese companies now moving into South America.

    We’ve had a great start to The Smart, Safe, Sustainable Summit! So what’s happened so far? 👉 We began with Karolina Saviova, COO & Co-Founder, AltoVita, setting the scene for the day. From the main stage she explained how 2024 is a challenging year to navigate. “Stabilised Volatility” is an ideal way to describe the landscape, in part due to the current election super cycles that are having an impact on what we do on a daily basis, she said. This volatility is impacting technology and industrial strategies. 👉 “Grab it!” was the advice from one of the speakers in the next panel. Diogo Matos, Global Mobility Services Manager, Solvay, shared his perspective on how best to unite business travel and mobility. “If you have experience, go to the right stakeholder … do not let go of your beliefs. Do it with right marketing strategy for internal clients, know where your grounds are, your culture … Grab it and take it forward!" For Souhilla Taarabit, Group Head of Corporate Travel Services, Al-Futtaim, her journey has just started but may be smoother than others as she noted travel already sits under the same umbrella as relocation, which is HR, so “things will move quite fast.” However, she explained how she wants to extend mobility to business travel to also encourage blended travel and longer trips. This will help lower costs, as the Middle East sees accommodation costs go up and budgets become tighter. But there's work to do, she continued, because mobility is looked at in a very operational way. "I’m not asking my travel management company for figures on relocation, but I should actually. The relocation team is there to make sure people can join the company join safely, and leave safely, they don't look at costs." 👉 Next up on stage, a panel tackled the complexities of group moves, with a comprehensive A-Z case study. From amenities to zeroing in on the details, Beverly King MCIPD King, VP of Client Partnership, AltoVita and Seb Hammond, Head of Customer Success Operations, AltoVita, discussed a recent booking of 100 people relocating from Turkey to Spain to work on a construction project in Barcelona. To make it work, the accommodation and process had to be perfect, such as everything from joint communications prior to the moves to sourcing modern, safe accommodation, with features like an on-site reception for phased arrivals. And catering the rooms to different seniority levels had to be taken into consideration. Would a director feel comfortable sharing a kitchen, for example? Audience questions included whether it was the right decision to house all the 100 people in the same co-living accommodation block? Doesn’t that impact promoting more diverse experiences of the group? "Y is for Yes!" The customer is always right. A more clustered approach was suggested to the clients, but they wanted everyone together to really focus on the work. Video recordings of these first panels will be available soon...
