Are Site Visits a Necessity or a Luxury?   Imagine this scenario: After the event, the client comes to you and says:   "I know we didn’t budget for a site visit, BUT...   The venue was too small.   It was a bit run-down.   There was nowhere for the buses to stop, so delegates had to cross a busy road to get to the venue."   <...the client continues listing the not-so-great aspects of the venue...>   What can you say? They decided against the site visit, so...   We all understand that without a site visit, you’re essentially buying a pig in a poke when choosing an event location. Online research can never substitute for an in-person visit.   Venues, like any supplier, will present themselves in the best light. Their websites will look pristine, capacity charts will show the absolute maximum you can squeeze in, and their salespeople will sing praises. However, these may not reflect the reality.   I always advise my clients to invest in a site visit before committing to a venue. It has consistently proven to be the best investment for ensuring a successful event. Even best have us do it for or with you so we can put our logistical brain together to ensure all the components will work in the venue

Have you ever wondered why outdoor community events matter? It's a question often posed by stakeholders or supervisors, and the answer varies based on our goals. For me, these events matter because they foster connections to experiences we can rely on.   In an increasingly digital world, this connection is crucial, especially now. The pandemic hasn't just physically distanced us; it has also driven us into isolated online bubbles. We encounter fake news, propaganda, and divisive narratives daily, leading to fractured communities where individuals find solace in echo chambers and fringe beliefs.   The remedy lies in bringing people together offline, in shared spaces and community events. These events can be intentionally crafted to bridge divides and nurture inclusivity, fostering a sense of belonging for everyone, irrespective of differences.   Despite the challenges, I believe in the inherent goodness of people. It's just harder to see amidst the digital noise and echo chambers. By creating welcoming outdoor environments through community events, we can break down barriers and create opportunities for genuine connections and understanding. #communityevents #eventsmanagement #eventoperations #eventlogistics #eventstaffing

In the world of events, where every detail counts and the pressure is on, it's incredibly easy to trip over some common hurdles.   I've seen firsthand how these slip-ups can transform a promising event into a memorable one for all the wrong reasons.   Here is mistakes an event planner can make when curating experiences: * Forgetting to Plan for the Worst:*   Optimism is a vital trait for any event planner; after all, envisioning the best possible outcome is the first step to making it happen.   However, optimism without preparedness can lead to disaster.   Many planners meticulously organise the day assuming everything will go as planned, only to find themselves scrambling when something goes awry.   The reality is, no matter how well you plan, unforeseen issues can and do arise.   The difference between a minor hiccup and a major fiasco is often just how well you've prepared for the unexpected.   Having a Plan B (and C, and D) is crucial.   As event planners, our goal is to create seamless, memorable experiences that unfold effortlessly.   Achieving this requires not just creativity and vision, but also a pragmatic approach to planning and problem-solving.   By prioritizing the above, you can navigate the complexities of event planning with confidence and grace.   Remember, in this field, every mistake is a learning opportunity, and a chance to keep getting better.   #eventplanning #mistakes #eventplanner #businesscoach #eventprofs #planning

In the world of events, where every detail counts and the pressure is on, it's incredibly easy to trip over some common hurdles. I've seen firsthand how these slip-ups can transform a promising event into a memorable one for all the wrong reasons. Here is an example of mistakes an event planner can make when curating experiences: Underestimating the Importance of Communication: First, and the most critical, is the underestimation of good, clear communication. This doesn’t just mean sending out a bunch of emails or keeping a checklist. It's about ensuring that every vendor, team member, and client is on the same page, understanding what needs to be done and why it’s important. A common scenario I see is planners getting so wrapped up in ticking boxes that they forget to foster a collaborative environment with open, ongoing dialogue. The result? Misunderstandings, missed opportunities for innovation, and, at times, a final product that doesn’t fully meet the client's vision. Regular, structured check-ins and a commitment to clear, empathetic communication can turn this around. #eventplanning #mistakes #eventplanner #eventprofs #planning

I recently had a thought-provoking conversation with a fellow event freelancer about the dynamics of events she's tackled throughout her career. We delved into the intricacies of larger outdoor events, discussing not only the demands placed on paid staff but also the welfare of volunteers.   It struck me how essential it is to prioritise the well-being of our teams, particularly when they're committed to long hours, days, or even weeks on end. While we all aim to manage costs and exceed client expectations, it's crucial to remember the backbone of any successful event—the team.   Providing fundamental amenities such as a crew room, meals, food vouchers, and ample hydration isn't just a gesture; it's a statement of appreciation and safety . These small gestures can make a world of difference, fostering a sense of value and respect among team members.   When you invest in your team's welfare, the returns are significant. Not only are you more likely to retain talented individuals for future projects, but you also safeguard your reputation within the industry. After all, word-of-mouth travels fast, and a positive reputation as an employer can open doors to new opportunities.   How do you prioritise your team's well-being during events? Let's share our best practices and insights. #eventstaffing #eventteam #teamculture #producitivty

Yesterday I had the privilege to speak to students at William Angliss Institute about the topic of Business Relationships and how students can get involved in the event industry. We then Introduced Right Angle Events and the work we do particular with the upcoming charity walk for #FightParkinson's event next month. We look forward to onboarding students into our volunteer team providing guidance motivation and support to participants especially those who participate with Parkinson's. Volunteers will learn new skills, meet new friends and get an idea on what type of events they would pursue as their study completion. Chantelle Beaunom Alain Beaunom
